During setup, we connect to your existing Google Drive or Dropbox and ingest your strata documents. The AI is trained specifically on your complex's rules — not generic information. It will only answer from your actual bylaws and policies.

Important notice: Sawyer Advisory and StrataAI will not collect, store, or process any personal data from residents or end-users until this Privacy Policy is publicly live and accessible. No data collection has occurred prior to this policy taking effect.

Section 01

What personal data we collect

When you or your residents interact with Sawyer Advisory's services — including the StrataAI platform — we may collect the following types of personal information:

Name — your first and last name, used to identify you within the platform and personalise communications.
Email address — used to send account notifications, maintenance updates, and replies to your enquiries.
Phone number — optionally provided, used to contact you about urgent maintenance issues or building announcements.
Messages and communications — the content of maintenance requests, chat messages, or feedback submitted through StrataAI.
Property or unit information — your lot or unit number and building address, to route requests to the correct strata scheme.
Usage data — basic information about how you interact with our platform (e.g., pages visited, features used), collected in aggregate to improve our service.

We only collect information necessary to provide our services. We do not collect sensitive data such as financial account details, health information, or government identification numbers.

Why we collect it

Every piece of data we collect has a specific purpose:

To provide StrataAI services — processing maintenance requests, managing resident communications, and automating strata operations on behalf of your building's management.
To communicate with you — responding to your messages, sending status updates on requests, and providing important building announcements.
To improve our products — understanding how our platform is used helps us fix problems and build better features. This analysis is done in aggregate and does not single out individuals.
To meet legal obligations — in some cases, we may be required to retain certain records under applicable law.

We will never use your data for advertising, profiling, or any purpose unrelated to delivering our services.

How data is stored and protected

We take the security of your data seriously and apply industry best practices throughout:

Encryption in transit — all data transmitted between your device and our servers is encrypted using TLS (Transport Layer Security).
Encryption at rest — stored data is encrypted on our servers so it cannot be read if physical hardware is ever compromised.
Access controls — only authorised members of the Sawyer Advisory team can access resident data, and only when required to provide or support our services.
Data retention — we retain your data only as long as your account is active or as required by law. When data is no longer needed, it is securely deleted.

While no system can guarantee absolute security, we will notify you promptly if a breach occurs that affects your personal data.

Who has access to your data

Your data stays with us. Only the internal Sawyer Advisory team has access to personal data, and only for the purpose of operating and improving our services.

We do not sell, rent, or share your personal data with any third parties for commercial purposes — ever.

There are two limited circumstances where information may be disclosed:

Your strata manager or building committee — as part of delivering StrataAI services, relevant information (such as your maintenance request or unit number) may be shared with your authorised building management team.
Legal requirements — if we receive a valid legal request (such as a court order or government directive), we may be required to disclose certain data. We will notify you to the extent permitted by law.

Any service providers we engage to help operate our infrastructure are bound by strict data processing agreements and are not permitted to use your data for their own purposes.

Your rights — deletion and updates

You are in control of your personal data. You have the right to:

Access your data — request a copy of the personal information we hold about you.
Correct your data — ask us to update any information that is inaccurate or out of date.
Delete your data — request that we delete your personal information. We will honour this unless we are required by law to retain certain records.
Object to processing — ask us to stop using your data in a particular way, such as for product improvement analytics.

To exercise any of these rights, contact us at the email address below. We will respond within 30 days. There is no fee for making a request.

Sawyer Advisory and StrataAI are committed to responsible data practices from day one.

We confirm that no personal data belonging to residents or end-users has been collected, stored, or processed prior to this Privacy Policy being publicly live and accessible.

Data collection will only begin once:

This Privacy Policy is published and accessible to all users.
Residents have been made aware of how their data will be used.
Any required consent mechanisms are in place within the StrataAI platform.

This policy will be updated if our data practices change, and we will notify users of any material changes before they take effect.
